Health and Safety Policy for Garden Maintenance Archway
Policy Statement
Garden Maintenance Archway is committed to providing a safe working environment for employees, contractors and the public during all garden care and maintenance activities. This health and safety policy outlines responsibilities, safe systems of work and the minimum standards required for garden maintenance in Archway and the surrounding service area. The aim is to reduce risk, prevent injury and protect property while delivering high-quality groundcare and landscaping services.
The objectives of this policy are to: identify hazards, implement suitable controls, and ensure that all operatives are competent and equipped to carry out tasks safely. Management will promote a safety culture where reporting hazards and near-misses is encouraged. This document applies to routine grounds maintenance, pruning, hedge trimming, turf care, seasonal clearances and related activities performed as part of our Archway garden services.
Scope and applicability: The policy covers all staff, including permanent and temporary employees, subcontractors and visitors while on sites we maintain. It applies to machinery use, hand tools, chemical handling, manual handling tasks and working at height during installation or maintenance of garden structures. Risk assessments will be carried out for each site and task to ensure appropriate controls are in place for the local working environment.
Responsibilities and Competence
Managers and supervisors are responsible for implementing this policy and for ensuring that site-specific risk assessments and method statements are created and followed. Employees must follow safe working procedures, use personal protective equipment (PPE) correctly and report hazards. Training, induction and periodic refresher instruction are mandatory to maintain competence in safe garden maintenance operations across the Archway service area.

Training and supervision
Training includes safe use of power tools, safe operation of ride-on mowers, brushcutters and chainsaws where relevant, first aid awareness, and safe manual handling techniques. New staff receive an induction covering emergency procedures and safe working standards. Supervisors will monitor performance and provide on-the-job coaching to maintain compliance with company safety obligations.Personal protective equipment must be worn as specified in the site risk assessment. Typical PPE includes safety boots, gloves, eye protection, high-visibility clothing and hearing protection. Equipment must be maintained in a safe condition, and any defects reported immediately so that tools and machinery are taken out of service until repaired.
Risk Management and Safe Systems
Risk assessment is central to safe gardening work. Before starting work, operatives will identify hazards such as uneven ground, embedded objects, underground services, adjacent pedestrian routes and traffic, or hazardous plants. Control measures may include:
- segregation of work areas from the public
- use of barriers and warning signs
- safe systems of work for machinery operation
- appropriate disposal of green waste
Hazardous substances, including pesticides and herbicides, will be used only by trained personnel with COSHH-style assessments in place. Storage, label checking and correct dosing procedures are compulsory. Spill kits and emergency response instructions will be available on sites where chemicals are deployed.

Emergency procedures and incident reporting
All staff must be familiar with emergency arrangements including first aid, fire response and evacuation routes. Incidents, near misses and injuries must be reported without delay so that corrective actions can be implemented. Accident records will be reviewed and used to drive continuous improvement in our health and safety performance for the Archway garden maintenance service.Monitoring, Review and Continual Improvement
Regular inspections, toolbox talks and audits will be undertaken to monitor compliance with this policy. Performance indicators such as training completion rates, incident trends and equipment maintenance records will be reviewed by management. Continuous improvement is an expectation: learning from incidents, adopting safer equipment and updating procedures where necessary.
Contractors and subcontractors engaged for any part of the garden maintenance process must comply with this policy and demonstrate satisfactory safety arrangements. Subcontractor selection includes evaluating safety records and verifying competence before work begins.
Management will review this policy periodically and after any significant incident, change in operations or regulation to ensure it remains relevant and effective. Employees are encouraged to contribute suggestions for improvements. This health and safety policy supports a shared commitment to safe, reliable and professional garden maintenance services in Archway and the surrounding area.
